SIDE VOLLEY LLC CANCELLATION & REFUND POLICY

IMPORTANT NOTICE TO PARTICIPANT AND PARENT/GUARDIAN: THIS DOCUMENT OUTLINES THE TERMS UNDER WHICH YOU MAY CANCEL A BOOKED TRAINING SESSION AND THE APPLICABLE SESSION CREDIT OR FORFEITURE TERMS. BY BOOKING AND COMPLETING PAYMENT, YOU AGREE TO THE TERMS SET FORTH BELOW. READ THIS ENTIRE DOCUMENT CAREFULLY. IF YOU DO NOT UNDERSTAND ANY PART OF THIS POLICY, CONTACT SIDE VOLLEY LLC BEFORE COMPLETING YOUR BOOKING.

1. SCOPE & APPLICABILITY

This Cancellation and Refund Policy applies to all bookings made through the Side Volley LLC small-group soccer training program. By booking a session at go.sidevolley.com/book and completing payment, the Participant (or Parent/Guardian if the Participant is a minor) agrees to be bound by the terms of this policy.

Session fees are listed on the booking page at the time of registration and are subject to change. Payment is processed via Stripe at the time of booking. No booking is confirmed until payment is received in full.

2. CANCELLATION WINDOW

Cancellations must be submitted at least forty-eight (48) hours before the scheduled session start time to be eligible for a session credit. The following categories apply:

  • Timely Cancellation (48+ hours before session): Eligible for a session credit as described in Section 3. No cash refunds will be issued.

  • Late Cancellation (fewer than 48 hours before session): No refund, credit, or reschedule will be issued. The full session fee is forfeited.

  • No-Show (no cancellation submitted): No refund, credit, or reschedule will be issued. The full session fee is forfeited.

    3. SESSION CREDIT FOR TIMELY CANCELLATIONS

    If the Participant (or Parent/Guardian) cancels at least forty-eight (48) hours before the scheduled session, the Participant will receive a session credit equal to the full session fee paid toward a future Side Volley LLC training session. No cash refunds will be issued under any circumstances for Participant-initiated cancellations.

    Session credits are subject to the following terms:

  • Credits are valid for ninety (90) days from the date of the cancelled session.

  • Credits are non-transferable and may only be used by the original Participant.

  • Credits may not be redeemed for cash, combined with other offers, or applied to third-party services.

  • Expired credits are forfeited and cannot be reinstated.

4. LATE CANCELLATIONS & NO-SHOWS

Cancellations made fewer than forty-eight (48) hours before the scheduled session, as well as no-shows, are non-refundable and not eligible for session credit. The full session fee shall be forfeited. Side Volley LLC reserves no obligation to offer exceptions, reschedules, or accommodations for late cancellations or no-shows.

5. HOW TO CANCEL

To cancel a booked session, the Participant (or Parent/Guardian) must send an email to info@sidevolley.com including the Participant’s full name, session date, and reason for cancellation. Email is the only accepted method of cancellation.

A cancellation is deemed effective at the time the email is received in the info@sidevolley.com inbox, as determined by the email timestamp. It is the responsibility of the Participant (or Parent/Guardian) to ensure the email is sent to the correct address and within the required cancellation window. Side Volley LLC is not responsible for emails sent to incorrect addresses, caught by spam filters, or otherwise undelivered.

6. SIDE VOLLEY-INITIATED CANCELLATIONS

In the event that Side Volley LLC must cancel a session due to inclement weather, facility unavailability, coach unavailability, insufficient enrollment, or other circumstances beyond reasonable control, Participants will receive, at their election:

  • A full refund of the session fee paid to the original payment method; or

  • The option to reschedule to the next available session at no additional cost.

    Side Volley LLC will make reasonable efforts to notify Participants at least twenty-four (24) hours in advance of any cancellation. Notification will be sent to the email address and/or phone number on file.

    7. CALENDAR SLOT POLICY

    To ensure fair availability for all Participants, unpaid bookings are automatically released after thirty (30) minutes. If payment is not completed within this window, the booking will be cancelled and the slot will become available to other Participants. This process is automated and is not reversible. Side Volley LLC is not responsible for lost bookings resulting from failure to complete timely payment.

    8. CREDITS & REFUND PROCESSING

  • Participant-initiated cancellations are eligible for session credits only. No cash refunds will be issued for Participant-initiated cancellations under any circumstances.

  • Cash refunds are issued only when Side Volley LLC cancels a session (see Section 6). Such refunds are processed manually through Stripe to the original payment method.

  • Refund processing time: five (5) to ten (10) business days after the refund is initiated by Side Volley LLC.

  • Side Volley LLC is not responsible for delays caused by financial institutions or payment processors.

9. REMOVAL FROM PROGRAM

Consistent with Section 7 of the Side Volley LLC Participant Waiver, Release of Liability & Assumption of Risk, the Business reserves the right to remove any Participant from a session for unsafe, disrespectful, or disruptive behavior without refund and without liability. In such cases, no refund, credit, or reschedule will be issued.

10. DISPUTES

If a Participant (or Parent/Guardian) believes a cancellation or refund was handled incorrectly, they may submit a written dispute to info@sidevolley.com within fourteen (14) days of the session date. Side Volley LLC will review the dispute and respond within five (5) business days. Disputes submitted after the fourteen-day window may not be considered.

11. POLICY MODIFICATIONS

Side Volley LLC reserves the right to update or modify this Cancellation and Refund Policy at any time. Changes will be posted on the booking page and will apply to all sessions booked after the effective date of the updated policy. It is the responsibility of the Participant (or Parent/Guardian) to review this policy before each booking.

12. GOVERNING LAW & VENUE

This policy shall be governed by and construed in accordance with the laws of the State of California. Venue for any dispute arising from this policy shall be in the county in which Side Volley LLC principally operates.

13. SEVERABILITY

Each provision of this policy is intended to be severable. If any provision is held invalid or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect.

14. ACKNOWLEDGMENT

BY BOOKING AND COMPLETING PAYMENT, the Participant (or Parent/Guardian if the Participant is a minor) acknowledges that: (1) they have READ this entire Cancellation and Refund Policy; (2) they UNDERSTAND its terms; and (3) they AGREE to be bound by the terms set forth herein.
